Refund Policy

Effective date: July 10, 2026

This Refund Policy explains when and how refunds are issued for purchases of the AIOS platform from AI Employee Agency LLC. It forms part of, and should be read together with, our Terms & Conditions and Payment Terms. By completing a purchase you acknowledge and agree to this policy.

1.Non-Refundable Processing Fee (5%)

All refunds are subject to a non-refundable processing fee equal to five percent (5%) of the refunded amount. This fee covers the credit-card and payment-processing costs that AI Employee Agency incurs on the original transaction and that are not returned to us by our payment processor when a charge is refunded.

Where a refund is approved, the amount returned to you will be the eligible refund amount less the 5% processing fee. For example, on an approved refund of $1,000.00, the processing fee is $50.00 and the net amount returned to you is $950.00.

This 5% fee applies to every refund we issue under this policy, including partial refunds, unless a full fee waiver is required by applicable law or expressly agreed by us in writing.

2.System Access Fee / White-Glove Deployment

The one-time System Access Fee (also presented as “White-Glove Deployment”) covers provisioning, environment setup, security hardening, and onboarding work that begins immediately upon purchase. Because this work is performed up front, the System Access Fee is non-refundable once provisioning has begun, except where required by law. If you request a refund before any provisioning work has started, we may refund it subject to the 5% processing fee.

3.Subscription Fees

Monthly plans. Monthly subscription fees are charged at the start of each billing cycle and are generally non-refundable for the current cycle. You may cancel at any time to stop future charges; cancellation takes effect at the end of the current paid cycle and you retain access until then.

Prepaid multi-month terms. Prepaid terms (e.g., 12-month or 24-month) are billed upfront at a discounted rate in exchange for the commitment. If you request a refund of a prepaid term, any refund we issue (at our discretion or as required by law) will be calculated as the unused portion of the term valued at the standard (non-discounted) monthly rate for the months already consumed, less the non-refundable System Access Fee, and less the 5% processing fee on the amount returned.

4.How to Request a Refund

To request a refund, contact billing@aiemployeeagency.com from the email associated with your account, including your account/business name and the reason for the request. We aim to respond within five (5) business days. Approved refunds are returned to the original payment method; the time for funds to appear depends on your card issuer or bank.

5.Eligibility & Exclusions

Refunds are not available for: (a) third-party AI model/token usage costs incurred under BYOK (these are billed by the model provider, not by us); (b) fees for services already substantially delivered; (c) accounts terminated for violation of our Terms & Conditions or Acceptable Use; or (d) charges disputed after the applicable dispute window. Promotional, discounted, or free-trial-derived amounts may be excluded from refunds to the extent of the discount.

6.Chargebacks

If you believe a charge is in error, please contact us first — we will work to resolve it promptly. Initiating a chargeback without first contacting us may result in suspension of your account. Where a chargeback is later found to be invalid, we reserve the right to re-bill the disputed amount plus any associated fees.

7.Changes to This Policy

We may update this Refund Policy from time to time. The version in effect at the time of your purchase governs that purchase. Material changes will be posted here with an updated effective date.
